Streamlining Asset Management and Surveying with Integrator Plus and Notus Pocket Surveyor

Organisation Overview

East Kilbride Housing Association (EKHA) is a community-based housing provider in South Lanarkshire. With a portfolio of over 600 homes, the association is committed to maintaining high standards of housing quality, safety, and energy efficiency for its tenants.

The Challenge

EKHA faced a number of operational challenges:

  • Manual survey processes using paper forms and spreadsheets

  • Difficulty maintaining up-to-date asset data across properties

  • Limited visibility of lifecycle costs and compliance status

  • Increasing pressure to meet Scottish Housing Quality Standards (SHQS) and EESSH2 targets

The Solution

EKHA adopted Integrator Plus, a cloud-based asset management system, together with Notus Pocket Surveyor to modernise its surveying and data management processes.

In Practice: Stock Condition Survey Upgrade

In 2024, EKHA carried out a full stock condition survey across its housing portfolio using Notus Pocket Surveyor on Android and iOS tablets. Surveyors were able to:

  • Collect data on site, including component condition, RdSAP ratings, and fire safety checks

  • Capture unlimited photographs and voice notes for each property

  • Work offline in remote locations and automatically synchronise data when connected

Once synchronised, survey data was reviewed using the survey approval workflow before updating the live asset register. Integrator Plus was then used to:

  • Generate lifecycle cost projections for key components such as boilers, roofs, and windows

  • Model replacement scenarios aligned with budget forecasts

  • Monitor compliance with SHQS and EESSH2 using built-in dashboards

Outcomes

  • 25% reduction in survey time compared to previous paper-based methods

  • Improved data accuracy and consistency, reducing rework and errors

  • £60,000 in projected savings over five years through improved lifecycle planning

  • Enhanced compliance tracking, helping EKHA stay ahead of regulatory deadlines
